DCM uses Microsoft Word Documents as templates allowing you to take advantage of all that Word has to offer. DCM only supports Office 2010 or later.
Provided for you is a set of 'most common' templates used by Specialists that you can customise to suit. You can add others if you wish or delete those you do not want.
These templates are located on your server in a shared folder: \DirectCONTROLServerFiles\Templates
DCM templates use bookmarks and cross referencing to populate the relevant data.
Bookmarks are replaced by variable data. This means that the relevant detail appears in the client record when using these Templates. ie Client Name, Referrer, etc
Tips:
- Ensure you do not make any typing errors when creating your bookmarks. They must be identical to the list of bookmarks provided. Keep this list on hand when working with templates or better still, just copy/paste from the DCM bookmark list
- Do not type the brackets [ ]. These are inserted automatically
- When working on templates, copy the template and work on the copy in case you make errors you cannot rectify
- When happy and you have tested it, you can delete the old one and rename the new
- When creating a new template, select an existing one that has many of the bookmarks already in place and copy this. This will save you much effort
- If you want to use the form functions of Word, you need to use section breaks and ensure you do not include the DCM bookmarks in the protected sections
- Do not waste time designing a template unless you have a good understanding of Word to include document layout to include the use of tables, form functions and section breaks if necessary
- Talk to your DCM Business Partner to organise additional training if you need it
Inserting Bookmarks
Overview
There are two methods of inserting bookmarks:
1. Copying and pasting from the DCM bookmark list
2. Typing them in
Method 1: Copying/Pasting from the DC Bookmark List
Steps
- Copy the template you want to edit or create a new document.
- Open the DCM Bookmarks.docx
- Locate the bookmark in the DCM Bookmark List.
- We suggest you click in the first column and then press [Tab] to highlight the Bookmark ... yes, brackets and all.
- Press [Ctrl+C] to copy the Bookmark.
- Select the location in the template where you want your variable data (Bookmark) to appear.
- Select 'Insert - Bookmark'
- Press [Ctrl+V] to paste the Bookmark.
- Click 'Add'
- Continue from 3. above if adding other Bookmarks
Method 2: Typing them in
Steps
- Copy the template you want to edit or create a new one.
- Open the DCM Bookmarks.docx list.
- Select the location in the template where you want your variable data (Bookmark) to appear.
- Referring to the DCM Bookmark list, type the bookmark name without the brackets.
- Highlight the bookmark name you have just typed.
- Do not highlight the paragraph symbol (New Picture.jpg).
- Hint: Click at the start of the Bookmark, hold down [Shift] and press [End].
- Then click [Backspace] to unhighlight the paragraph symbol.
- Press [Ctrl+C] to copy the bookmark.
- Select 'Insert - Bookmark'
- Press [Ctrl+V] to paste the bookmark.
- Click 'Add'
- Continue from 3. above if adding other Bookmarks
Inserting Cross References
Overview
As a bookmark can ONLY be inserted into a Word document once, if you want to repeat data throughout your template, you can do so by inserting a cross reference.
Steps
Click on the location where you want to repeat a bookmark.
Select Insert - Cross Reference - Bookmark - Bookmark Name
CC Function others onto Reports
Reports generated in DC to email, fax or post ...
- Add others you want to send copies to in Client Referrals. Flag them with Do not use as a referral so they are not listed on the invoice.
- The Report Template will need the relevant CC bookmark.
- On generating the Report, you will be prompted to select the Referrer you want to CC.
Using Medical Object or Argus Connect ...
On launching in one of the above, you can select others you wish to copy in.
