Medicare Australia Online: Web Services (MCOL)
Your PKI Site Certificate will cease on 13 March 2022. DCM is compliant with Medicare Web Services.
To make the move to MCOL, you must have a Provider Digital Access (PRODA) account for both an Individual (Authorised person) and your Organisation/Business/Practice.
This is a time-consuming process, but once done, it is also required to access other services requiring a NASH PKI Certificate as well:

Register an Organisation
- Go to the Australian Business Register and ensure you are listed in your organisation as the Principal Authority
- In order to log on to the ABR, you need a myGovID. This is an app that has to be downloaded to your iPhone or Android
- Once you have a myGovID, you can log on to the Relationship Authorisation Manager (RAM) and link your business and manage authorisations
- You can then register your organisation in PRODA

- To enable Medicare Online Processing, a device (computer/workstation/terminal server/etc.) has to be registered and activated in PRODA

Medicare Australia Online: Configure PRODA
- Ensure you have registered with PRODA and listed the devices (computer/workstation/terminal server) on which you will be processing Medicare Online
- Logon to each device and launch DCM with Administrator access and go to Utilities - Configure - Digital Services and enter your PRODA details for that device
- Select Activate Device
- Once activated, you can commence Medicare Processing on this device
- Know that the token expires every hour. It is renewed automatically when you next perform a MCOL web service
Automate Medicare Processing
- Go to Utilities - Configure - Medicare/IHC where you can Automate sending claims and receipting along with other selections
Secure Message Delivery: Medical Objects
Client Communications - Letters/Reports/Referrals can be sent securely from DCM to Referrers/Surgeons using either the Medical Objects Word Plug in or Argus CONNECT.
If using the Medical Objects Word plugin, Medical Objects requires that the template be laid out in a certain order so that it can recognise necessary detail.

SMS
DCM integrates with www.redoxygen.com for sending and receiving SMS.
Go to www.redoxygen.com and select Free Trial to start and ensure you select DCM Medical to get the best deal.
You will need a mobile on hand and know what email address you want to use
Red Oxygen will provide you with an Account ID and Password. These details are then entered in Utilities - Configure - SMS
This needs to be setup on each workstation. Check the IMAP Server settings with your IT people to ensure they are correct.
If wanting to send automatic reminders, tick that box and the number of days before the appointment.
Know that SMS will not be sent to Clients who do not have SMS OK ticked next to their mobile number. In Utilities - Configure - General the is a tick box for Default 'Yes' for SMS/Email OK but ensure your clients have the option to 'opt out'
Select Edit the Auto SMS text button to setup the text of your SMS Reminder
On a client responding to this SMS, the Appointment Confirmation column will change to YES or NO or VIEW. VIEW means that they have not responded with YES. This response is saved in Client Communcations.
Once set up, you can send one or bulk appointment reminders. You can also right-click on any mobile number and select Send SMS resulting in a form opening for you to either free text a message or select a template.

Office SMS
This installs an Addin in Outlook for you to send SMS from Outlook
Bulk SMS
This installs an application and using the same account details as you have for DCM, you can setup templates to send SMS to your clients.
You can extract the client details from DCM by following the steps in merging data from DCM for mailouts, analysis or marketing.
HL7
Go to Utilities - Configure - HL7 and complete this section.
Receiving HL7 on appointments (WA Health where .... this needs explaining
Direct CONTROL via (Utilities->entities-.>Select Entity->double click to open -> select Locations (Active)-> Click 'Other' tab) and enter the clinic code in the Comments section in the following format #CODE#
the code is surrounded by #'s to remove the chance of the clinic code just happening to be a common string that may be in the comments of another
HICAPS
If using a HICAPS terminal, the workflow is:
- On receipting in DCM select payment method HICAPS
- Enter receipt details
- Swipe the patient health fund card and confirm amount the fund will pay
- Enter this value against the HICAPS payment
- Add other payment method for balance (EFTPOS or cash)
- Save and print the receipt
DOX
Go to Utilities - Configure - Integrations - DOX and complete this section
Best Practice
DCM generates a patients.in file that can be read in by Best Practice should you choose to use the BP instead of the DC Clinical Module. This will create new patient records in BP and update existing.
This needs to be setup in both DCM and BP.
In DCM go to Utilities - Configure - Intergrations and browse to the path where the patients.in file will save.
In BP go to Setup - Configuration - Links and complete as per the following. Note the 'Run the data import process on this computer'. You need to ensure that BP is running on the computer with the Link setup. If not, detail will not transfer to BP.

Microsoft Outlook Addin
Overview
Try it with a single Doctor first to make sure it works. Do the following:
- Get the Doctor to create a DCM calendar in their mailbox
- Have them share it to all users running the Addin
- On a user running the Addin, accept the share
- Go to Configuration(Outlook). Tick 'Use Shared', untick 'Use Folders'
- Go to Setup Calendars and find the Doctor you have the shared Calendar for. Right click on it and select the shared Calendar
- Save and close dialog
- Test
- Restart Outlook
- Test again
If this calendar seems to be working repeat steps (except the Outlook Config) for all Doctors' calendars
Name the calendars something obvious like DC - DrFirstName DrLastName
Steps
Get the Doctor to create a DCM calendar in their mailbox/Create a new calendar for Doctor
- Open Outlook application, navigate to the Calendar tab and right click on Calendar; then click "New Calendar"
- Name the calendar as DC-{doctor's first and last initial}
- Once it is created a new Calendar will be shown under "My Calendars" list
Have them share it to all users running the Outlook Addin
- While selecting the newly created calendar click Share Calendar from the toolbar
- Enter the email address of the person(s) you want to share the Calendar with
- Check the add, edit, delete option; and then click Send Click "Yes" when prompted for permission
On a user running the Addin, accept the share
- Click "Open this Calendar"
- The Doctor's calendar is added on the user's Calendar list under Shared calendars
- Install the Outlook Addin from the directcontrolserverfiles folder
Open Outlook and do the following:
- Go to Configuration(Outlook). Tick 'Use Shared', untick 'Use Folders'
- Go to Setup Calendars and find the Doctor you have the shared Calendar for. Right click on it and select the shared Calendar. Note: This setup is for staff who manage appointments.
- Save and close dialog
Test
Once done all of the Shared Calendars will appear on the Shared Calendars list.
Restart Outlook
Test
If this calendar seems to be working repeat all of the above steps (except the Outlook Config) for all Doctors' Calendars
Optional Outlook Configuration
- Set Calendar as default startup tab for doctor (optional)
- Set up holiday Calendar for all (optional)
- Set work hours (optional)
- Setup common categories for all (Doctors and staff)
SecurePay
If using an EFTPOS terminal, the Workflow is:
- On receipting in DC select payment method EFTPOS
- Enter receipt details
- Swipe the patient card and confirm approval (encourage staff to circle the word APPROVED)
- Save and print the receipt
We would encourage clients to explore an EFTPOS online service that we would prefer to integrate with.
Transcription Services
To integrate with Transcription Services using EMDAT, this can be setup in Utilities - Configure - Intergrations - EMDAT
We encourage detail to be saved to \\DirectCONTROLServerFiles\Transcriptions. On browsing to this folder, patients.txt and associates.txt files will not exist in the first instance. You need to key-in the filename and select Open to save.
