Autotext
Using Autotext saves time. Instructions here give an example of inserting different detail if a patient has private insurance or is uninsured. Below are two paragraphs that could be used.
- Copy/Paste the two paragraphs below to a word document
- Highlight the text under the heading Anaesthetic IFC Insured
- Select Insert Quick Parts – Autotext – Save Selection to Quick Part Gallery OR to skip with the mouse, press ALT+F3
- Key in the Name Anaesthetic IFC Insured
- Ensure Gallery is AutoText
- Select Save in: Normal.dotm
- Select OK
- Repeat for Anaesthetic IFC Uninsured
To then allocate this Quick Part to a button on the Quick Access Toolbar, complete the following:
- Right Click on Quick Parts > Select Add to Quick Access Toolbar (bar will appear) then select the arrow on the Quick Parts Access Toolbar > More Commands > Select choose commands from > Insert tab > Find Autotext, highlight it > press Add (it will move to the right hand side > OK (it will now appear on the Quick Access Toolbar
You now have the Autotext button on the Quick Access Toolbar to select the text you want to insert. Take the opportunity to add other buttons that will assist you (e.g.: Shrink to Fit)
If you want to assign/add shortcut Keys to Autotext entries, you can do this once you have added your AutoText/s to your Quick Access Tool Bar, then go to > File > Options > Customise Ribbon > Customize next to Keyboard Shortcuts > under Categories, select Building Blocks > right hand pane find the AutoText you want to put a shortcut key on and click it once to highlight it > click in the box under Press new shortcut key > press the keyboard key combination you want to assign to this autotext i.e. Alt+Shift+A > Press Assign button > Close (once you press assign you will see the key command combination appear in the Current Keys box)
Anaesthetic IFC Insured
I will meet you prior to your surgery to discuss your medical history and examine you and answer any questions you may have.
My fee for the anaesthetic service that I will provide for your operation is separate from the fees charged by:
- Your surgeon and any other doctor caring for you; and
- The institution (hospital, day surgery unit, endoscopy centre, etc) where the operation takes place.
This fee is only an estimate. Anaesthetic fees are calculated on time, the degree of difficulty and complexity of anaesthesia and patient physical factors such as health and age. This fee structure is based upon and significantly lower than the guidelines recommended by the Australian Society of Anaesthetists and the Australian Medical Association.
The estimate I have provided to you is based on us processing your account under a ‘Known GAP/OOP (Out Of Pocket)” arrangement with your Health Fund. Under the Known GAP arrangement, you are paid a higher rebate from your fund, thus reducing your personal Out-Of-Pocket (OOP) expense. An OOP expense still exists but is significantly reduced by your fund.
This OOP is not claimable through any other source and is your responsibility to pay. You will receive an invoice after your surgery. This invoice is payable within 14 days from the date of the invoice.
To qualify for a higher rebate, we will contact your health fund and assess whether your policy is financial and has met all waiting periods. After your procedure, we will send you an invoice for your co-payment and bill your Health fund and Medicare directly for the remaining amount.
Should your level of cover not offer a ‘Known Gap’ product, you will be responsible for the total cost of your care. This may involve you obtaining a rebate from Medicare and your private fund independently.

Inserting Images
If Inserting images for letterheads and footers, ensure you just link them to the template and not insert them. Otherwise your file sizes could be huge resulting in the Direct CONTROL database growing in size quickly. How?
- When selecting Insert - Picture - From a File, click the Insert drop down and select Link to File
- Best to have these images on a shared mapped drive as if inserting from the C drive, others wanting to use the same template from their workstation will not have the image. Recommend images are saved in \\DirectCONTROLServerFiles\Images or Logos
Creating forms
- Suggest using Insert Tables to create forms for better alignment
- Also to work with the Show/Hide button active
- Work with the Developers Tab
