What you need to do ...
- Apply for an Organisational Healthcare Provider Identifier (HPI-O).

- Add individual PRODA accounts to the organisation PRODA with a specific role (e.g. Director)
- Register for HPOS
- Register your business (seed organisation) in the HI Service and My Health Record and manage NASH certificates in HPOS
- Nominate Authorised Employees
- Ensure Medicare Online is configured on all workstations accessing these services
- Enable users to access functionality in Utilities - User Roles
Health Identifier (HI) Service

The HI Service allows healthcare providers to view a patient's information by using a healthcare identifier to access My Health Record. HI Service assigns and administers these identifiers. This step must be done first in order to access patient records electronically, electronic testing and transmitting of claims.
Healthcare identifiers are unique numbers assigned to:
- Individuals
- Healthcare Providers
- Organisations that provide health services
Healthcare Provider Identifier - Individual (HPI-I)

Healthcare Provider Indentifier - Organisation (HPI-O)
Click on the heading above. This applies to organisations that deliver health care i.e., hospitals, general practices etc.
Provider Digital Access (PRODA)
PRODA Account Setup - Individual
A PRODA account must be set up for each individual user. Only 1 account can be registered in your name. Do not share your login or password. This account doesn't expire, if you change employer, you keep this account and edit your details. Call Services Australia e-business on 1800 700 199 option 1 if you need help setting/editing account details. Once individual PRODA accounts are complete, they must be PRODA setup in DCM (zendesk.com)

PRODA Account Setup - Organisation
Once Individual PRODA accounts are set up, a PRODA account must be set up for an organisation. The person setting up this must be an Associate or Authorised contact for the business on the Australian Business Register (ABR) and their individual PRODA account name matches their ABR recorded name.
- Ensure the previously mentioned above details are correct prior to next steps
- Answer ownership questions
- Verify organisation email
- Setup your organisation functions
Individual PRODA accounts need to be linked to the Organisation PRODA account and given a specific role i.e. Director, Administrator etc.
Health Professional Online Services (HPOS)
Electronic secure way for Providers and Organisations to do business with Services Australia. PRODA accounts must be setup in order to use this function.

- Link your HI Service Identifiers to HPOS
- Set up your delegations
- Manage your details
The NASH PKI Certificate
Healthcare organisations can obtain and renew a NASH SHA-2 certificate via Health Professional Online Services (HPOS) Manage your NASH PKI certificates - National Authentication Service for Health - Services Australia if their software products are NASH SHA-2 ready. Direct CONTROL Medical (DCM) is NASH SHA-2 ready.
Billing Agents do not need to provide a NASH Certificate
Services that require a NASH Certificate are.
- Health Indentifier Service (HI)
- My Health Record (MHR)
- Secure Message Delivery (SMD)
- Prescription Delivery Service (PDS)
For a DCM user to access the HI Service, they need to have the HI Service ENABLED in User Roles as referenced above. To upload documents into MHR, The HPI-O, HPI-I and IHI is needed for the Organisation, Provider, Referrer and Patient. The patient IHI is automatically updated when you verify the Medicare details in the Client/Patient file, Insurance Tab.
DCM Healthcare Provider Identifier - Organisation (HPI-O) assigned to organsations
In DCM, detail is layered. The main Business could be the organisation or there may be a different HPI-O per location
- The Entity can be an Organisation
- Contact Management - Hospitals will also have an HPI-O
- As could Contact Management - Referrers/Surgeons, if an Organisation
- Healthcare Provider Identifier - Individual (HPI-I) assigned to the Healthcare Provider in Utilities - Entities
- Contact Management - Referrers/Surgeon
- Individual Healthcare Identifier (IHI) assigned to the patient - Client Record - General Tab
- Individual Healthcare Identifier (IHI) assigned to the referrer
Go to Contact Management - Referrers/Surgeons to add or edit Referrals. You can enter the HPI-I number if known directly into the field on the Search tab when adding or editing the file. If you need to obtain it, you can search by AHPRA or Demographics tab and insert via those methods. The AHPRA Lookup button is on the right panel, once located the information, select Search HI Demographics and select the Referrals/Surgeon details > Save > Close
Healthcare providers exchange patient information with other members of a patient's care team. To enable this to occur in a streamlined and paperless manner, secure and interoperable connectivity between clinical systems – also known as secure messaging - is essential.
Requirements
To use SMD your business/es must have an Organisational Healthcare Provider Identifier (HPI-O). This is provided by Medicare on your registering with the Healthcare Identifier (HI) Service.
- Setup an individual PRODA account
- Register your organisation in PRODA
- Register for HPOS
- Register your business (seed organisation) in the HI Service and My Health Record and manage NASH certificates in HPOS
- Nominate Authorised Employees
- Ensure Medicare Online is configured on all workstations accessing these services
- In Utilities – Configure – Digital Services section under Secure Message Delivery tab, select your chosen SM Vendor and enter necessary detail to connect

DCM can receive in and out with Argus and Medical Objects. HealthLink can only receive in through DCM as there is a substantial charge for DCM to send out and a separate charge from HealthLink for the Individual/Entity/Provider. You must have one of these three to be able to use this function.
Receiving IN (DCM user is receiving)
Sender is an Individual/Referrer from another Medical Centre or Hospital
The sender will send to the DCM Organisation or to an Individual/Entity/Provider in the DCM Organisation
Sending OUT (DCM User is Sending)
Sender is a DCM Individual/Entity/Provider
Can be sent to an Organisation or to an Individual/Entity/Provider
Electronic Prescriptions (ePs)
DCM is compliant with Electronic Prescriptions
My Health Record (MHR)
Ensure you have your NASH PKI Certificate and HI Service set up correctly along with HPOS as all mentioned above. Utilities - User Roles to allow individual access to MHR. Click on the heading for further information from Services Australia.
Accessing the MHR
- Once enabled, the Client Record will display one of the following icons:
- If that Client has an active MHR that you can view and access
- If that Client has an MHR accessible with an access code or via emergency access
- A MonoChrome MHR icon if no MHR or it is hidden.
